This Privacy Policy explains how Zentry ("Zentry", "we", "us", or "our") collects, uses, and protects information about you when you use our Discord bot and web dashboard at https://zentrybot.net.

1. Information We Collect

We collect the following categories of information when you interact with Zentry:

a. Discord OAuth2 Data

When you log in with Discord, we receive and store:

  • Discord User ID
  • Discord username and discriminator
  • Discord avatar hash
  • Email address (only if you grant the email scope)
  • List of Discord servers (guilds) where you have Administrator or Manage Server permission

b. Server and Bot Data

When Zentry is added to a Discord server, we may collect and store:

  • Discord Server (Guild) ID and name
  • Server configuration and settings you configure via the dashboard
  • Moderation logs (ban, kick, warn, timeout actions) including the user ID of the target, moderator, and reason
  • Warning records per user
  • Aggregated daily statistics (message count, member join/leave count) — no message content is stored

c. Message Content (Automod Only)

If you enable the Automod feature, the bot reads message content in real time solely to enforce the rules you configure (e.g., detecting spam, invite links, or forbidden words). Message content is never stored on our servers. It is processed ephemerally and discarded immediately after the automod check.

d. Payment Data

If you purchase Zentry Pro, payment processing is handled entirely by Stripe. We do not store or have access to your credit card number or billing details. We only store the Stripe session ID and subscription status to verify your Pro access.

2. How We Use Your Information

We use the information we collect to:

  • Provide and operate the Zentry bot and dashboard
  • Authenticate you via Discord OAuth2
  • Apply moderation settings and rules you configure
  • Display server statistics and moderation logs in your dashboard
  • Process and verify Pro subscription payments
  • Respond to support requests
  • Improve the reliability and features of the service

We do not sell, rent, or share your personal information with third parties for marketing purposes.

3. Data Retention

  • Account data: Retained as long as your account is active.
  • Moderation logs: Retained indefinitely to provide historical moderation records. Server owners can request deletion.
  • Server settings: Deleted when you remove the bot and request data deletion, or use the Reset Settings option in the dashboard.
  • Warning records: Retained until a server administrator clears them.

We implement reasonable technical and organisational measures to protect your information against unauthorised access, loss, or misuse. All data is transmitted over HTTPS. API credentials and secrets are stored as environment variables and never exposed in the frontend code.

You have the right to:

  • Access the personal data we hold about you
  • Delete your account and associated data by contacting us
  • Reset your server's data using the Reset Settings option in the dashboard
  • Remove the bot from your server, which stops all data collection for that server

7. Children's Privacy

Zentry is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of significant changes by posting the new policy on this page with an updated date. Continued use of Zentry after changes constitutes acceptance of the revised policy.
